Have you ever wondered what does it really take to book or reserve a nightclub? For many years now, I have always been the go to person in my organization when it pertains to reserving or booking nightclubs. Till this very day, I still have friends and business associates contacting and asking me to find them a venue so they can host an event. In return for my services for finding a proper venue for them, I would usually receive a fee or a small percentage of the event net profit. Talk about easy quick cash.
Searching for the right venue to booking a nightclub is such a simple task, which only requires a few phone calls, a couple of meetings and a lot of foot work. If you really think about it anyone can do it and does not require any form of physical hard labor.
KEY POINTS
Prior to finding a location to host a party or special event, there are some key points I always use to help me determine a proper venue before meeting with an owner or nightclub manager.
DATE – When in the calendar year and what day of the week are you planning to have an event? We can pretty much assume that top nightclubs are always having something lined up on key prime nights like Thursday, Friday, or Saturday. With that being said, always try to book a venue way in advance and figure out when would you like to have your party.
LOCATION – Where do you plan on having your event? This is such an important thought, which one should not take lightly. I would like to emphasize “location, location and location” the major key factor in order to have a successful event. When it comes to finding the right nightclub, please take into consideration your target audience. Determine the main location of your base crowd, as a reminder they are the one who will be supporting your event.
CAPACITY – This is something that all club owners would like know, the number of people you are expecting to attend your event. When seeking out a venue a good promoter would really know how many people they can expect to pull that evening. Find a venue where you can actually believe you can pack in and not allow any open spaces. Hosting an event that looks empty creates a negative impression on you, your organization, and event. As a simple reminder in order to look good and leave a positive impression, always under promise and over deliver.
VENUE – A proper venue should enthrall your target audience and make them feel like they belong; with that being said finding the right venue can be a very tricky process. We may have the ideal time, location, and capacity size. If you find a venue that does not present the right look and feel for your club followers, get ready to expect a low outcome return. For example, if you have a particular crowd that likes to attend high-end nightclubs with the entire VIP glam spotlight treatment, you should find a venue that caters to their needs. If you have a following that is more into dive bars and dive clubs, then you must cater to their particular needs. So, when it boils down to which venue to book or scout for, think carefully about type of crowd you are currently catering to. As a reminder the right venue for you might not be the right venue for your crowd.
CONTACT PERSON - When trying to find more information about a nightclub’s availability, go directly to the source. Visit the nightclub’s website or call information and try to contact either the General Manager, Manager, Marketing Director, and Events Coordinator and introduce yourself. Inform them about your objective and ask them if you can set up a meeting with them. Most likely they will ask you to send them a proposal first before a meeting can be set up. So, send them the target date of the event, the expected number of people, demographics, and purpose of the event.
NIGHTCLUB OPERATION FEES
Once you are able to meet with nightclub management and finalize a date. You should always ask about any operation fees that will be added on to the event. For example:
Bar Guarantee:
Is there a bar guarantee?
How much is the bar guarantee?
Can it be waived? If so how?
Rental Fee:
Is there a rental fee?
How much is the rental fee and what does it include?
Can it be waived? if so how?
Security:
Is there a security fee?
How many securities will be required?
Who is the head security contact information?
Will you be able to run the door?
Production and Sound Support:
Is there a fee for production and sound equipment support?
If so, how much is the fee?
Can it be waived? If so how?
When it comes to booking or reserving a night at a nightclub, always remember your niche target audience and the purpose of your event.
